Room Reservation Policies

General Policy

We have study and meeting rooms on the 2nd and 3rd floors that are available for graduate & professional students to reserve during our regular weekday (M-F) hours. As long as space is not reserved, you can use and share the space with other graduate students for quite study or a group meeting.

You can check our availability calendar »to see what spaces are available, or just visit the space to find an available space to use. If you want to ensure the space is reserved for your group, you will need to complete the request form ».

Who can submit a reservation request?

Only Penn graduate and professional students or University departments offering programming specifically for the broader graduate & professional community can reserve a room. We will not accept reservation requests outside these guidelines.

Where can I find a description of the reservable spaces?

You are invited to explore the Center and learn about each room's configuration and capacity.

How much does it cost to reserve space?

Most reservations are free of charge.

If your reservation extends past the Center's operating hours (current hours listed above right), requires housekeeping services, or is held in Room 305, it may incur additional fees. These will be communicated before your reservation is confirmed.

My Monday reservation was denied but I submitted it Friday, why did this happen?

We do not process reservations after 4pm on Friday. Our staff offices are open Monday to Friday 9am to 5pm.

Can I reserve the first floor / Welfer Common Room

As the only lounge space on campus specifically for graduate and professional students, the Welfer Common Room cannot be reserved during our regular operating hours.

Very occasionally, the Welfer Common Room is used for events sponsored by the Office of the Provost or Grad Center programs open to all graduate and professional students. Signs will be posted in the room when such uses are scheduled.

Can I serve alcohol?

We must abide by Pennsylvania and the University's rules on the consumption of alcohol. As such, you are responsible for understanding and adhering to the University's Alcohol Policy of which the major points are:
