Graduate Student Center Space Request Form
The Graduate Student Center has several spaces available: the Common Room Lounge; the Common Room Meeting/Lecture Area; the Conference Room on the second floor; Room 302; Room 303; Room 304; Room 305, and the Terrace. These spaces are available only to graduate student groups (or student groups that are primarily comprised of graduate students), and to University offices for programs aimed at a graduate student audience. Space is available on a first come-first serve basis.

Grad Center space is free during normal business hours. Events that extend beyond the Center's normal business hours incur a rental fee of $40/hour. In addition, parties and receptions that occur on Friday, Saturday, or Sunday incur a housekeeping fee of $120. A $50 cancellation fee/security deposit is required for all events on the first floor space and/or Room 305. The deposit can be provided through a budget code or a check or money order. Please make checks payable to "Trustees of the University of Pennsylvania." Budgets will not be charged and checks will be returned for events cancelled more than 24 hours in advance and/or for events that incur no damage to the Center. However, the deposit will be forfeited if the event is cancelled with less than 24 hours notice or if damage to Center property occurs during the event.

Please fill out this form to request space.
You will be contacted within three business days about your request.

Will pay $40/hour rental fee for my event that extends beyond normal hours
Will pay $10/hour rental fee for use of A/V equipment
Will pay $120 housekeeping fee for Friday evening, Saturday, or Sunday events that involve food
Will pay the $50 security deposit/cancellation fee for Common Room and Room 305 events

In addition, I and members of my group agree to the following Grad Center regulations:
  •  Ensure that our event does not extend past midnight.
  •  Card attendees at the door for graduate student ID or 21+ ID (if serving alcohol).
  •  Hire a University approved bartender (list available from the Grad Center) (if serving alcohol).
  •  Inform the Grad Center management of vendors and/or equipment that will be brought in for the event.
  •  Remove all garbage including food, food containers, bottles, ice, liquids, etc., at the conclusion of the event. There is a dumpster behind the Grad Center for trash removal.
  •  No open flames, lit candles, etc., in the Grad Center. Use of the fireplace is solely at the discretion of the staff person on duty.
  •  Avoid tripping hazards during the event. Secure extension cords completely with duct tape. Immediately wipe up spills.
  •  Be aware of the two exits to use in case of emergency: the main front exit and the emergency exit behind the computer lab.
  •  Under no circumstances block either exit with equipment, chairs, tables, trash cans, etc. Both exits must be completely  accessible at all times.
